WhatsApp appointment reminders for small clinics
Updated:
Most tools for clinic reminders are built on the official API, which suits larger operations. If your clinic has one reception desk and a computer that's on during office hours, a simpler routine may be enough.
A routine that fits one reception desk
- When you book the appointment, schedule a reminder for the working day before, during office hours.
- Ask for a clear reply, such as "yes" to confirm or a request for a new time.
- Replies arrive in your normal WhatsApp, so someone needs to read them and update the calendar.
- Offer the free slot to someone else as soon as a patient cancels.
Sample reminder
Hi {name}, this is the clinic. Your appointment is tomorrow at 2:30 PM. Can you confirm? If you need a new time, just reply here.
Keep health details out of the message
Many countries protect health data more strictly than other personal data, including Brazil under the LGPD and Europe and the UK under the GDPR. Name the time and the clinic, and leave out the procedure, diagnosis or test results. Make sure patients have agreed to get messages on WhatsApp, and check any rules from your professional body. If you're unsure, ask whoever handles your legal questions.
When this isn't the right tool
If reminders must go out with every computer off, or several people need to answer from the same number, look at scheduling software with reminders built in, or at a provider of the official API. BetterZap is meant for smaller routines, where someone is at the computer during the day.
Before you rely on this
- BetterZap sends only while Chrome is open and WhatsApp Web is connected. If the computer is off at the scheduled time, nothing goes out, and the message shows as Late until you decide what to do.
- It's made for one message to one person. Only message people who agreed to hear from you.
Try it on your own number
BetterZap is free for up to 20 messages a day, and your contacts stay in your browser.
